How to Manage Email Disk Usage in cPanel

Running out of email storage can affect how your email accounts function causing delays, bounce-backs, or loss of access. Luckily, cPanel offers a simple tool to help you manage and free up space used by your email accounts.

Follow the steps below to view and manage email disk usage in cPanel:

Step 1: Log in to Your cPanel Account

• Use your domain or hosting provider link (e.g., yourdomain.com/cpanel).

• Enter your cPanel username and password.

Step 2: Open the Email Disk Usage Tool

1. Scroll down to the Email section.

2. Click on Email Disk Usage.

This tool provides a quick overview of all email accounts under your domain and the amount of space each is using.

Step 3: Select the Email Account to Manage

• From the drop-down menu, choose the specific email address you want to manage.

• You will see:

  • Mailbox folders (Inbox, Sent, Trash, Junk, etc.)

  • Storage usage per folder

Step 4: Clear Unnecessary Emails

1. Next to each folder (e.g., Trash or Junk), click the “Manage” button.

2. Choose one of the following cleanup actions:

   • Delete all messages

   • Delete messages older than 1 year

   • Delete messages older than 30MB

   • Delete messages from Trash or Junk

3. Confirm the deletion.

Note: Deleted messages cannot be recovered, so double-check before confirming.

Tips for Ongoing Management

• Regularly empty your Trash and Spam folders.

• Use email clients (like Outlook or Thunderbird) set to auto-delete old messages.

• Encourage users to archive important emails locally.

• Set email quotas to limit overuse of server storage.

Check Overall Disk Usage

To monitor disk usage across your hosting account:

• Go back to cPanel home.

• Click Disk Usage under the Files section.

• Sort by folder to find large email directories.
